In Japan, there is a system called "shaken" (vehicle inspection), which requires new cars to undergo a statutory inspection after three years, and every two years thereafter. When undergoing this statutory inspection, documents known as the "Maintenance Note" and the "Inspection and Maintenance Record Book" are used. These documents must be filled out when the statutory inspection is conducted.
Not having a properly completed Maintenance Note or Inspection and Maintenance Record Book is a violation of the law, and it can also lower the auction price of a vehicle. For this reason, most vehicles come with these documents.
Who is the scanning service for?
This service is intended for businesses that export vehicles to countries with inspection systems similar to Japan, such as:
- Germany (TÜV)
- United Kingdom (MOT)
- France
- Italy
- Spain
- Netherlands
- South Korea
In these countries, maintenance records are important, making proper documentation management essential.
Why is the scanning service necessary?

Shipments from auction houses are, with some exceptions, delivered to our company. The delivered items are then sent to the yard. However, with thousands of vehicles stored in the yard, there is a risk of items being misplaced due to improper storage.
By scanning the documents upon arrival at our company and making them available for viewing and storage on a dedicated cloud system for each customer, the risk of trouble caused by lost documents can be significantly reduced.
Loss Policy
If a document is lost while in our company's possession after arriving from an auction house, we will take responsibility for it. However, once the document has been sent from our company, the responsibility shifts to the shipping company and the yard manager.
Paid Services
1. Paid Translation Service
For those who need to check the contents of the inspection and maintenance records, we offer a translation service at a rate of 1,000 yen per page. Please feel free to inquire.
2. Paid Spare Key DHL Shipping
As a general rule, all received items are placed inside the purchased vehicle. However, some customers may not need the Maintenance Note or the vehicle manual because they are in Japanese.
In such cases, we can dispose of the Maintenance Note and manual at our company and ship only the spare key. The spare key will be shipped along with the B/L (Bill of Lading). Please contact us for more details.
